Quick answer: Cancel the blocked job first. If cancellation never completes, restart Print Spooler; clear its pending files only as a last step, because that removes queued jobs for every printer on that PC.
Check whether the queue is the real problem
A document sitting behind an earlier failed job is different from a printer that cannot feed paper. Open Settings → Bluetooth & devices → Printers & scanners, choose the intended printer, then Open print queue. Record the first job’s status. Check the printer display for a jam or supply error before changing Windows settings.
Do not keep clicking Print. Multiple copies make it harder to identify the original failure and can all emerge when the queue recovers. Save the source document and note which pages you actually need.
Try the least disruptive fix
- Cancel the failed job in the queue. In some Windows versions the controls sit in a three-dot menu.
- Let cancellation finish, then send one short text page.
- If the queue is paused, resume it. If a hardware error is still shown, resolve that error rather than repeatedly cancelling jobs.
Restart the Windows printing service
Press Windows + R, enter services.msc, and open Print Spooler. Choose Restart. Administrator permission may be needed. Reopen the queue and test one page. Restarting the service does not fix a disconnected printer, but it can release a stalled Windows printing process.
Last resort: clear pending spool files
Before continuing: on a shared or managed PC, ask IT. This step discards pending jobs for all printers on this computer, not just the selected printer. It does not delete the original Word or PDF files. Everyone affected must be prepared to resend their documents.
- In Services, stop Print Spooler. Leave the Services window open.
- Open File Explorer and enter
%WINDIR%\System32\spool\PRINTERSin the address bar. Confirm administrator access if requested. - Delete only the files inside that PRINTERS folder. Do not delete the folder itself or files elsewhere. If the location is unexpected, stop and ask for help.
- Return to Services and start Print Spooler.
- Send a one-page test, then resend only the jobs you need.
If the same document blocks the queue again
| Test result | Next action |
|---|---|
| A new text document prints | Try a fresh copy or export of the original document. |
| Every document stalls | Check the selected printer, connection and driver. |
| Another computer prints normally | Troubleshoot this PC; avoid resetting the whole printer. |
Prevent unnecessary repeat jobs
After recovery, cancel any obsolete duplicates before printing the full document. If the spooler repeatedly stops, record the printer model, driver name and document that triggers it for IT or manufacturer support. Registry edits and third-party cleaner utilities are not a necessary first response.
